──Part 2.Data processing and application mode; ──Part 3.Data processing specifications; 11 Scope This part of CY/T 101 puts forward the requirements for the transfer, use, preservation and return of news and publication content resource processing materials. This section applies to the digital processing of news and publication content resources and the production and application of electronic resources.

2 Terms and definitions

The terms and definitions defined in CY/T 101.1-2014 and the following are applicable to this document. 2.1 Press and publication content resource Any form and granularity of content and other valuable resources in the press and publishing field. 3 Data collation and transfer

3.1 Data collation 3.1.1 Overview Data sorting is all the physical parts of the news and publication content resources to be processed, and the original typesetting data files used for printing and plate making and archiving. News Publication Content Resource Processing Specification Part 5.Data Management The process of classifying, verifying, checking, registering, etc., piece by piece or archived film. The data compilation should form a standardized and complete list. 3.1.2 Classification Data classification is the division of news and publication content resources to be processed according to paper quality, electronic data and film. 3.1.3 Check Check the physical parts, electronic data and films to be processed. Check points usually include. a) Check whether the physical form of the data is consistent with the resource list; b) Check the publication information, volume information, etc., to determine whether it is the processed version; c) Check whether the electronic data is complete and whether the data version is the final version. 3.1.4 Inspection Carry out a comprehensive inspection of physical elements such as appearance, defacement, missing, etc., and improve the validity and completeness of electronic data and film. Line inspection, checkpoints usually include. a) Check whether there are missing pages, missing pages, etc.; b) Check if there is any damage such as missing corners, residual edges and corners of the paper; c) Check whether the unique identifier attached to the data is missing; d) Check whether the outer packaging is damaged; e) Check the integrity and validity of electronic data and film. 3.1.5 Registration All kinds of problems found during the registration check and inspection process will generate a complete data registration list (see Appendix A.1). 4 Data usage

4.1 Principles of Use To avoid damage or loss of physical parts during processing, the following basic principles should be followed. a) Designate a person to manage the data; b) Use scanned images to replace physical parts; c) After the data is returned and put on the shelf, it can be called again, and private transfer is prohibited; d) Irrelevant personnel are prohibited from reviewing or using materials. 4.2 Use process 4.2.1 Data lending After the user fills in the data usage transfer form (see Appendix A.3), the data manager extracts the resources and confirms the resource status on both sides. The user signs and receives it, and the main content of the data usage transfer form includes. a) Data number. the serial number of the data; b) Bookshelf number. the data storage bookshelf number; c) Name information. the name of the material or period information, etc.; d) Lending time. the time when the data is out of the database; e) Return time. the time when the data was stored in the database; f) Handover signature. the signature confirmation lent or returned by the user. 4.2.2 Data usage The basic requirements for data use are as follows. a) Do a good job in data storage, protection and maintenance; b) It should not be damaged, delineated, deleted, added, or folded, etc.; c) Don’t lend it to others, use it for other purposes, or take it out privately. If it is lost, it should be registered in time; d) If you need to split, cut, etc., there should be a permission statement from the client; e) When using confidential information, the information should be kept confidential. 4.2.3 Return of data After the data is used, the user should return it in time. When returning, the data administrator shall register the return after the two parties confirm that there is no new contamination. If new information is corrupted, please fill in the problem feedback registration form in time.

5 Data preservation

The basic requirements for data preservation are as follows. a) The storage place should be relatively independent and far away from fire, water and other dangerous materials; b) Stored on a multi-layer wooden or metal rack, the lowest level of the storage rack should be greater than 20cm from the ground; c) The storage area should be kept away from direct sunlight, the temperature should be controlled between 15℃~30℃, and the humidity should be between 20%~50%; d) Insect repellent, rodent repellent, and fire extinguishing devices should be placed in the preservation area; e) The storage area should be kept clean and tidy.

6 Return of data

According to the request of the client, the data can be returned to the client in stages or as a whole after the finished product data is delivered and passed the inspection. The worker will issue a data return list (consistent with the data transfer form). For the data return list, see 4.2 Data Transfer Form. The resources themselves Sign the confirmation after checking the quantity and quality. The returned materials shall ensure. a) For the physical parts that have been cut and processed, they should be restored to their original state after use; b) The materials with exclusive packaging bags (boxes) should be put back in the original order after use, etc.
